TERMS OF SERVICE
(Updated May 2026)
This Agreement applies to anyone who purchases any monthly membership pass, class credits packs, or drop-in classes from Fluxx CycleHouse. Please read these terms and conditions carefully.
The terms and conditions of this Agreement are subject to change at any time, without prior written notice to you.
Any changes will be incorporated into the terms and conditions posted to Fluxx CycleHouse’s website from time to time.
1. SERVICES AND HOURS
At Fluxx CycleHouse, we offer classes encompassing cardiovascular conditioning, resistance and flexibility training such as indoor cycling classes and weight training/conditioning classes, TRX classes, yoga and meditation classes at different times during the day. We can change the types of classes, equipment, or services we offer.
Our usual hours are from 5:30 AM to 8:30 PM on weekdays and from 7:30 AM to 2:00 PM on weekends, but these hours can change. We might be closed on some holidays, and we may change our hours of operation.
2. REGISTRATION AND ACCOUNT
To use Fluxx CycleHouse’s services, you must be at least 18 years old or have the permission of a parent or legal guardian. Such permission will allow 14+ permission to participate in the classes offered at Fluxx CycleHouse. Registration of minors (ages 14-17) must be completed in person at the studio with a parent or legal guardian present. If you are between the ages of 14 and 17, you may register on our website only with the involvement of a parent or guardian as well as a signed waiver in person at the studio.
Anyone who creates a user account with Fluxx CycleHouse agrees to provide current, and complete, information.
Users are responsible for maintaining the security and confidentiality of their account. Users must notify us immediately if they suspect that your account has been accessed by an unauthorized user or has been used for fraudulent purposes.
3. PAYMENT
You agree to pay all applicable fees and charges for the services provided by Fluxx CycleHouse in advance to reserve your spot in a class. Fluxx CycleHouse reserves the right to change pricing at any time. Any changes will be communicated to you in advance.
Members are responsible for keeping valid billing information on file to ensure that membership payments are processed fully and on time. This includes ensuring that expired forms of payment are updated, as required.
Membership:
All memberships are charged on the date of purchase (unless otherwise specified) and is active upon first check in.
When you sign this agreement, you allow us to take your monthly payment automatically. You’re responsible for paying what you owe. Our monthly memberships are available on auto-renewal ONLY. Monthly membership riders are required to keep a valid card on file. Cards accepted for these payments consist of visa debit cards or credit cards. If your card is declined you have to make a payment before your account will be unfrozen. Failure to keep accounts in good standing and/or keep valid payment methods on file, could result in loss of services. Accounts in arrears will be locked and members will be unable to access services at Fluxx CycleHouse until payment is made. Month to month pass memberships not on a commitment membership can be cancelled anytime with 30 days notice. Notice must be provided via email at hello@fluxxcyclehouse.ca. Notice cannot be provided via Facebook, Instagram or text. Your membership will continue to renew on a month-to-month basis until you cancel it unless otherwise specified.
6 month and 1 year commitment memberships should not cancel before the 6 months is up. If you need to cancel before the commitment period has been fulfilled, the cost to exit the contract is 50% of the remaining monthly fees. Payment to be made in full. A doctors note will allow for an account freeze for a maximum of 3 months. These requests are to be directed to our email hello@fluxxcyclehouse.ca
Class Credits: Class credits and drop-in fees must be collected before class to access services. If you buy class packs and don’t use them, they expire as follows:
- Drop in expires after one month of purchase.
- 5 class pass expires after three months of purchase.
- 10 class pass expires after six months of purchase.
- 20 class pass expires after one year of purchase.
- 2 Classes for $25 pass expires after 3 months of purchase.
This applies to gift cards and online e-cards. All credits are non-refundable.
Drop-In Classes: You pay for a single class and receive access to booking one week from that date/time. You have an option to purchase an Advanced Drop-In that will give you access to booking ten days in advance, giving you first access ahead of all credit and membership holders. Once you pay, it’s non-refundable. If you don’t use it within the expiration period, you lose it.
4. RETURN POLICY
All sales are final, which includes merchandise, memberships, credits and fees. Refunds are not available.
5. MEMBERSHIP CANCELLATION POLICY
Membership Commitment
Our memberships have numerous commitment options ranging from a month to month, 6 month commitment, up to one year commitment. Most memberships will renew indefinitely at the offered price after the completion of the commitment period. Please refer to your Membership Agreement for these details.
Membership Cancellation
All memberships with a commitment period, are to meet the commitment requirements. If you need to cancel before the commitment period is up, a 50% charge for each remaining month on the contract will be applied and paid in full.
All memberships are subject to a 30 day cancellation notice. If subject to a commitment period, once that term is up 30 days notice is required by way of email to request a cancellation. Please contact the studio at hello@fluxxcyclehouse.ca.
Membership Medical Freeze
If you are medically unable to use your commitment membership due to a documented medical condition, you have the option to freeze your account for up to a maximum of 3 months. To initiate a medical freeze, we require a physician’s note confirming your inability to physically use Fluxx CycleHouse’s facilities and services. Members must provide this doctor’s note accompanied by a written request to hello@fluxxcyclehouse.ca. Medical freeze requests cannot be verbally processed, nor are they accepted via other forms of communication, such as social media.
Membership Non-Medical Freeze
If you wish to freeze your membership for any other reason, please contact our customer support team via email for assistance and details. You may be eligible for a 1 month freeze but please be advised that an additional fee of $25 will apply immediately.

Please note that any freeze of a membership also freezes the commitment period and that will resume with the membership once the freeze period is up.
6. CLASS CANCELLATION & NO-SHOW POLICY
You must cancel a class at least eight hours before it starts to avoid a loss of credit or a charge to your account. If you cancel within the eight hour window prior to class, you will lose your class credit if you purchased a credit pack or drop in. If you have a monthly membership, your account will be charged a $10 late cancellation fee. Cancelling your reservation may only occur through the app, your account on our website or by calling the studio and speaking with a member of our team.
If you have a reservation for a class but fail to attend, you will lose the class credit if you purchased a credit pack or drop in. Monthly membership holders will be charged a $20 no-show fee.
You are solely responsible for managing your class reservations as well as your guest reservations, waitlist and cancellations. When arriving at the studio you are responsible for checking in with our front desk team. If you are not signed in within 5 minutes to the start of class, your spot may be released to another participant on the waitlist.
Classes cancelled prior to 8-hours outside of class, will retain their class credit and/or avoid a late cancellation fee.
7. LATE POLICY
The studio will be open 30 minutes prior to the start of class and clients are encouraged to arrive to class with enough time to check-in and set-up before class. Classes start on time and once the studio door is closed, entrance will not be permitted.
Please be advised that, once classes are in session, studio staff lock the front door. This is to ensure that the studio remains secure during class time and studio entry is not permitted.
8. WAITLIST POLICY
Clients who become waitlisted for classes should be prepared to attend the class. You can be dropped into class up to 45 minute prior to the start of class. Clients are encouraged to sign up for notifications through text, where you will be advised if you have been placed into class from the waitlist. Please be advised that our cancellation, late and no-show policy apply to all waitlisted members and waitlisted classes. If you are on the waitlist but no longer plan to attend the class, cancel your reservation to avoid being dropped into class and charged the late cancel/no-show fees by not attending. By signing this agreement, you acknowledge your booking and cancellation responsibilities.
If you are waitlisted for a RIDE, you will be assigned whatever bike becomes available.
If you remain on the waitlist by the start of class, you have the option to come to the studio and standby, which will release any unoccupied space to any interested client, 5-minutes before the start of class. Anyone remaining on the waitlist list by the start of class will not be penalized for not attending.
Please treat a spot on the waitlist the same as if you are reserved in the class. Up to 45 mins prior to class start time, the system will auto-populate clients into class from the waitlist as other clients with confirmed spots cancel and bikes will be assigned as such. If you can no longer attend the class, cancel your waitlist spot to ensure you aren’t added to the class close to as you will be subject to late cancellation fees as per our late cancellation fee schedule.
If you book multiple classes or waitlist multiple classes, you are solely responsible for cancelling your classes within the bounds of the cancellation policy. Fluxx CycleHouse staff cannot be held responsible for accidental bookings by clients or double bookings, or double waitlisted classes made by clients. Late cancel and no-show penalty fees apply if you do not cancel within the bounds of the cancellation policy.
9.CONDUCT AND RULES
All clients and guests attending Fluxx CycleHouse classes, events, or using the studio facilities are expected to conduct themselves in a respectful, appropriate and safe manner at all times.
Clients agree to follow all studio policies, posted rules, class guidelines and instructions provided by instructors or staff. This includes, but is not limited to, respecting studio equipment, facilities, staff, instructors and other clients.
Fluxx CycleHouse reserves the right to deny entry, remove any individual from the studio, or restrict participation in classes or events if behavior is deemed unsafe, disruptive, inappropriate, or in violation of studio policies.
Further expectations regarding behavior, communication, and community standards are outlined below.
10. COMMUNITY CONDUCT & STUDIO STANDARDS
Fluxx CycleHouse is committed to providing a safe, respectful, inclusive and welcoming environment for all clients, instructors, staff and guests.
By purchasing a membership, class pass or attending any class or event at Fluxx CycleHouse, all clients and guests agree to conduct themselves in a respectful and appropriate manner at all times. This includes, but is not limited to:
• Using respectful and professional language toward instructors, staff and fellow clients
• Refraining from disruptive, aggressive, offensive, inappropriate or intimidating behavior
• Following all studio policies, class guidelines and directions provided by staff
• Raising concerns or feedback directly and privately with management rather than during class or within the broader community
Any behavior that, in the sole discretion of Fluxx CycleHouse, negatively impacts the comfort, safety, experience or well-being of others, including but not limited to repeated complaints, rule violations, disruptive conduct, or negative or inflammatory discussion about the studio, its staff, instructors, or other clients, may result in corrective action.
Fluxx CycleHouse reserves the right, at its sole discretion and without obligation to provide explanation, to issue warnings, impose restrictions, suspend or revoke memberships or passes, restrict booking privileges, refuse service, or remove any individual from the studio. Such actions may be taken at any time and without refund in order to protect the integrity of the studio, its team and its community.
Acceptance of these Terms of Service constitutes agreement to this policy.
11. TERMINATION AND REFUSAL OF SERVICE
Fluxx CycleHouse reserves the right, at its sole discretion, to terminate, suspend, or restrict any membership, class pass, booking privileges, or access to the studio at any time for conduct that violates these Terms of Service, including but not limited to Section 10 (Community Conduct & Studio Standards), or for any other reason.
Such action may be taken without prior notice and without refund.
12. INTELLECTUAL PROPERTY
All content and materials provided by Fluxx CycleHouse, including but not limited to class content, logos, and branding, merchandise, social media content and promotional materials are the intellectual property of Fluxx CycleHouse and are protected by copyright and trademark laws.
Fluxx CycleHouse grants clients a limited, non-exclusive, non-transferable license to use our materials for your personal, non-commercial use while using our services.
13. CHANGES IN RULES AND POLICIES
We can change these rules anytime, so check our website for updates.
14. HEIGHT REQUIREMENT
For safety reasons, you must be at least 4’11” to take our cycle classes.
15. COVID-19
Clients understand and agree to the following:
- That COVID-19, as declared by the World Health Organization, is a global pandemic. It is highly contagious and primarily spreads through person-to-person contact. To reduce its spread, governments and health agencies recommend social distancing and may restrict gatherings of people in many areas.
- While Fluxx CycleHouse has implemented measures to minimize the risk of COVID-19 transmission, they cannot guarantee that you, your children, or your family members will not contract the virus while attending their classes.
- Participating in Fluxx CycleHouse classes could potentially increase the risk of COVID-19 for you and your loved ones.
- By signing this agreement, I acknowledge the contagious nature of COVID-19 and willingly accept the risk of exposure or infection while attending Fluxx CycleHouse.
- I understand that such exposure or infection may lead to personal injury, illness, permanent disability, or even death.
- I am aware that this risk can result from the actions, negligence, or omissions of myself, Fluxx CycleHouse, their employees, instructors, staff, volunteers, program participants, and their families.
- I voluntarily agree to take responsibility for all the risks mentioned above and accept sole liability for any injuries, illnesses, damages, losses, claims, liabilities, or expenses I or my children may experience in connection with my participation at Fluxx CycleHouse.
- On behalf of myself and my children, I release Fluxx CycleHouse, its employees, agents, and representatives from any claims, including all forms of liabilities, actions, damages, costs, or expenses related to these risks, regardless of whether a COVID-19 infection occurs before, during, or after participating in any Fluxx CycleHouse program.
- I acknowledge that Fluxx CycleHouse has the right to refuse service at their discretion.
16. OTHER RULES
Our classes are designed to be high-energy, featuring loud music, dim lighting and is an intense workout environment. Please note that the room can become warm during sessions although the AC will be running. If this atmosphere isn’t to your preference, our staff would be happy to assist you in exploring alternative options.
17. RIGHT TO REFUSE SERVICE
Fluxx CycleHouse reserves the right to refuse any service to anyone at any time.
18. DISCLAIMERS AND LIMITATION OF LIABILITY
I acknowledge and agree to the following:
- Fluxx CycleHouse is not responsible for safeguarding my personal belongings during my attendance at their classes.
- I understand that participating in Fluxx CycleHouse indoor cycling classes, strength & conditioning classes, TRX classes, yoga classes, meditation or any/all events or any other classes Fluxx CycleHouse may offer, can be physically demanding and carries a risk of personal injury, property loss, or even death.
- I am aware that any and all exercises, including but not limited to indoor cycling, strength & conditioning, TRX, yoga and meditation can strain my cardiovascular and musculoskeletal systems, and there’s an inherent risk of injury in any exercise program, including those at Fluxx CycleHouse.
- Before joining Fluxx CycleHouse, I either underwent a physical examination or obtained permission from my physician to participate in cardio-based exercise. If I’m pregnant, I also either received medical approval or chose to participate voluntarily.
- I certify that I am physically well and do not have any medical conditions, impairments, diseases, or illnesses that would prevent my participation or increase the risk of injury or illness during indoor cycling, strength & conditioning, TRX, Yoga and/or meditation.
- In exchange for being allowed to participate in Fluxx CycleHouse activities and using their facilities and equipment, I release Fluxx CycleHouse, its officers, agents, employees, representatives, and others from any responsibility or liability for injuries or damages resulting from my participation or equipment use.
- I agree not to sue Fluxx CycleHouse or its members for personal injuries, property damage/loss, or wrongful death, whether due to negligence or any other reason.
- I release all parties mentioned above and anyone else affected by this agreement from any claims.
I understand that I participate at my own risk, and Fluxx CycleHouse reserves the right to refuse service at their discretion.
19. GOVERNING LAW AND JURISDICTION
These Terms are governed by the laws of British Columbia, Canada, and any legal disputes shall be resolved in the courts of British Columbia.
Special Event Policy
(Updated March 2025)
We’re excited to continue to collaborate with instructors from around the world to bring unique training experiences to our community! Due to the travel and costs involved in hosting our guests, these special events are not included in memberships or available with regular class credits. However, as a membership benefit, certain events may be offered at exclusive pricing for members.
Special Events include, but are not limited to, guest instructor classes, seasonal events, workshops, and other special activities which are separate from our regular services and are subject to a Special Event Fee.
Event Ticket Pricing
Prices will be set per event and will be clearly stated upon promotion and not included in regular membership fees. Prices will vary based on the nature and duration of the event. Payment for special events are due at the time of booking and are non-refundable,
and non-transferable, unless the event is cancelled by Fluxx CycleHouse.
Registration + Attendance
Pre-registration is required for all special events. Registration can be completed on the FluxxCycleHouse app or in person at front desk. Special events have limited space available and will be filled on a first-come, first-served basis.
If a participant has booked multiple spots in a special event, additional reservations may be waitlisted to ensure fairness and equal opportunity for all attendees.
Guest pass privileges do not apply to special events.
Waitlisted attendees will be notified by email once a spot becomes available. If a waitlisted participant is unable to secure a spot in class their event fee will be fully refunded.
Cancellation Policy
If an event is cancelled by the studio, due to unforeseen circumstances (ie: instructor illness or inclement weather), attendees will be issued a full refund.
Special Event Code of Conduct Policy
All participants are expected to adhere to the studio’s code of conduct policies during special events. Failure to comply with these policies may result in the revocation of attendance to current, and future, special events.
Event-Specific Rules + Regulations
Special events may have specific requirements or limitations, such as age restrictions, skill level or required equipment. These details will be clearly communicated, in advance, upon promotion.
Special Event Communication
All special events will be communicated to members via social media, email newsletters and in our classes. We encourage members to monitor their email, and our social media feeds, for information about any studio related event.

- Verbal Consent: In some cases, verbal consent may be obtained when recording or capturing images during a class or event. Verbal consent will be documented.
Photographing Other Members
We respect the privacy and consent of all our members. Please refrain from taking photos of other members during classes or within our facility without their explicit consent. Respecting the privacy of fellow members is essential to maintaining a comfortable and safe environment for everyone. If you wish to take photos within our facility, always seek permission from those you intend to photograph and respect their decision, whether they grant or deny consent.
Changes to this Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or for other operational, legal, or regulatory reasons. The updated Privacy Policy will be posted on our website, and the date of the latest revision will be indicated.
